How to Choose Good Email Names

LAST UPDATED: June 30, 2020 • POSTED IN:

Choosing a good email name is necessary because it represents you or your business in many different aspects.

Getting good email names on Gmail and Outlook is very challenging nowadays because most of the email addresses are already taken.

Today, I am going to show you some email name ideas and how you can pick a perfect email address name for yourself or business.

If you own any domain or website then getting an email address of your choice is very easy like admin@domain.com

How to Choose Best Email Address for Yourself?

Before starting I would recommend creating an account with email service providers such as Gmail or Outlook because of their services and functionalities.

These two email providers are completely free and you might get your desired email usernames like yourname@gmail.com or yourname@outlook.com.

Also, if your name is very common then you are going to face problem in getting a common email address like yourname@gmail.com or firstname[dot]surname@gmail.com.

Therefore, let’s follow some steps to get a perfect email address.

1: Try with FirstName and LastName Combination

The best thing that you can do with an email address is including your name if possible.

For Example:

  • JohnDoe@gmail.com
  • John@gmail.com or John@outlook.com

If you have a common name like mine then you can try different combinations of your name. For Example:

  • DoeJohn@gmail.com
  • ItsJohnDoe@gmail.com
  • ThisIsJohn@gmail.com
  • JDoe@gmail.com

2: Try using DOT in between names

If Step1 is not working in your case, then you can try adding dot or underscore (if allowed) in your email address name.

For Example:

  • John[dot]Doe@outlook.com
  • Doe[dot]John@outlook.com

3: Avoid Using Nicknames

I have seen many emails, people include their nickname and having cool email names like dashing, boy, cute, princess, etc. Seriously, avoid such kind of names while creating any email whether for personal or professional use.

When we are making any email address, we have to make sure that the email name must be easy to remember, easy to pronounce, and meaningful.

4: Avoid Using Numbers

You should always avoid number and hyphens while creating any email address. Never use the below pattern in your email address:

  • John12021980@outlook.com
  • John999@outlook.com
  • John-Doe1@outlook.com

These kinds of emails look very unprofessional. Therefore, avoid using numbers and hyphens and make it look clean.

How to Choose a Professional Email Address?

If you own some business then you must be having a website or an email host and if not then you can try Google GSuite.

GSuite allows you to create custom email address with your domain name without having any website.

1: Try with Business Name Itself

Chances are higher that name you are choosing for your business is unique. Therefore, getting an email with your business name on Gmail or Outlook is easy.

Also, if you’re using custom domain then there is nothing to worry. Try with below example:

  • FreshCheesShop@gmail.com
  • FreshCheesShop@outlook.com
  • order@FreshCheesShop.com
  • admin@FreshCheesShop.com

2: Try Adding Location

If your business is worldwide or your business is country-specific then adding location to your email name is not a bad idea. Try using below combinations:

  • FreshCheesShopUSA@gmail.com
  • FreshCheesShop.London@gmail.com
  • admin.usa@FreshCheesShop.com
  • admin.uk@FreshCheesShop.com

3: Try Adding Designation

If you’re running an organisation and want many different emails for your company, department and employees then creating designation wise email is also a good idea.

For Example:

  • ceo@yourCompany.com
  • admin@yourCompany.com
  • sales@yourCompany.com

4: Avoid Using Numbers in your Business Email

As I told earlier always avoid using numbers in your email address. However, using numbers in a personal email is very common nowadays but never do that in your professional email address.

Trust me NEVER.

Things To Avoid While Choosing A Email Address:

  • Keep it short. Never go for 15-20 character long email address.
  • Avoid using nicknames like (cute, princess, sweet, etc).
  • Avoid numbers and hyphens.
  • Don’t use random words.

1. Can an email address start with a number?

Yes, you’re free to have an email address of your choice. You can create an email address with a digit at the middle, start or at the end. But the point is, Why?
It doesn’t sound professional and looks weird when you’re mentioning it somewhere. Try to keep it simple and try different combinations or try email name generator tools.

2. Common mistakes to avoid while choosing an email address?

As I suggested, avoid using numbers, hyphens, random words and nicknames. People sometimes use their spouse’s name which looks unprofessional.

3. How to Choose Unique Email Address?

The only way you can have an email address of your choice is having a custom domain name which allows you to create unique email name.

I hope this short guide will help you choose the best email names ever for yourself or business. Also, if your email doesn’t sound professional then this guide will definitely help you.

  1. In 2020, you really think any of the email names you suggested will be available? My name isn’t particularly common, and I tried every way you suggested only to receive an “unavailable” message. The only way any of these suggestions worked is if I included a number, which you say is unprofessional. Any more tips?

    • Yes, that’s true. What you can do you can try with different email providers and if that doesn’t work too then follow below tips.
      1. Add your profession (“er”, “dr”) etc.
      2. At the end, you can keep a single digit in your email.

  2. Hi! Thanks for the guide. I have a question: I have a long first name + double surname. I had made an email address for work with my full first name and the three initials of my double surname (it’s something like xxxxxxxxxxxyyy@domain.com). Is it unprofessional to have just the full first name instead of the full last name? I also had considered using just one of my two last names, but I don’t like that idea very much for various reasons…

    • Is there any problem with using hyphen in personal email address? Such as email typing, spamming folder, or others. His name-Mohammad Reza and email is mohammad-reza@hotmail.
      Again, helloreza@aol , heyreza@aol, rezamohammad@aol, mahammadrezaa@yahoo, mdreza.mba@gmail (MBA- master of business administration)
      mohammadreza@onmail
Which is very looking professional? Keep it mind also email providers please.

    • Hi Vikas,

Both your email looks nice. If you want to keep it short you can use “vikashkcg” else “vikaskhunteji” is also good enough.
